How To Rule to Move Messages to Folder and Delete After 30 Days


🔹 Step 1: Create a Rule to Move Emails to a Folder

Users can create a rule in Outlook or Outlook Web:

Open Outlook Web: https://outlook.office.com

Go to Settings (⚙️) → Mail → Rules

Click + Add new rule

Name the rule (e.g., “Move to Follow-Up Folder”)

Set the condition (e.g., if subject contains, from a certain sender, etc.)

Action: Move the message to a folder (create one if needed, e.g., “Temporary Storage”)

Save the rule


🔹 Step 2: Users Manually Apply the Label

Once the label is published:

In Outlook Web or Desktop, users can:

Right-click the email or folder

Choose Assign Policy or Retention label

Select Delete After 30 Days or One Month
